Touchless Meeting Room Solutions

Microsoft Teams | Lenovo Hub | Poly Studio | ScreenBeam

Exertis visited Comcen this week to demonstrate touchless collaboration technologies that enhance the Microsoft Teams experience.

Returning to work was discussed in depth, agreeing that many organisations will be accelerating towards more flexible and remote working policies, limiting the number of employees on-site at any one time. This movement would increase the need for Teams Rooms to enable collaboration and communication with your remote colleagues to continue with enhanced Video Conferencing quality.

"We look forward to demo days researching the latest AV, business and mobile technology. The Microsoft Teams integration with the Lenovo Thinksmart Hub and Poly Studio camera/microphone solution was incredibly impressive, offering a scaleable, high quality Video Conference system for small to medium size rooms. The ability to fine tune the  'audio fence' of your system and eliminate background noise is extremely useful in noisy environments. The quality of the array to focus on an individual, or groups who are speaking together, means that the sound quality will pickup normal speech levels within a boardroom to create that professional quality VC experience. When pared with the Screenbeam device you get extensive content sharing and presentation options, including dual screen where required." - Ian Greenhill, Technical Director, Comcen

Teams Rooms Solution for the Boardroom

"It was great to have a distributor visiting Comcen and Pisys to demonstrate all the different products and how they work together. The aim of the demo day for Pisys was to discover a boardroom solution that would fit 90% of Pisys customers and that is what we found with the  Lenovo Hub, the Polycom Studio and ScreenBeam, they just work seamlessly, they work together. It's all about simplicity, the simplicity of walking into a room, not having to touch anything and you're on screen, ready to go. That's what it's about."  - Steve Bain, Pisys Managing Director

Poly Studio

It’s time to raise the bar for video conferencing—it’s time for Poly Studio

"The Poly Studio USB has really impressed me. It is as if Poly have listened to clients' needs and difficulties around the audio, mic and camera during a video conference call, and implemented them into this product. Poly recommends this product for small huddle spaces but after testing we found that this will sit in a medium sized room without issue. The audio test that we performed proved this by walking out of the room into a garden where the audio could still be heard very clearly. The artificial intelligence of the camera tracking is also very impressive and the image clear at 1080p, and the more you use it the better the artificial intelligence gets. A great USB all-in- one product and superb value."   - Matt Sims, Health AV Consultant, Comcen

ScreenBeam Touchless Collaboration

Productivity soars when meetings start on time and teams can collaborate with touch display support.

“In this current climate you are trying to discourage the necessity and the need to touch devices. By using ScreenBeam, even just that on its own without other meeting technology, allows people to walk into a room and use their own device that they are safe to touch.  They can connect wirelessly, simply and easily without the need to download software, without needing to touch a dongle or plugin, and show their device on the screen. They can do this without touching the screen, without touching the device and then walk away with that device. Physically walking through the entire meeting without having to touch anything during that meeting experience.” Martin Price, Exertis

Security with Jason from Pisys

These products work seamlessly together as a touchless collaboration solution for the boardroom. If security is your concern? We asked Jason from Pisys to tell us more about security and what to consider when sourcing secure hardware solutions:

1. What are the main priorities when researching devices to enhance the Teams collaboration experience?

Really simple easy technology that doesn't involve touching. With social distancing you want to have your own device, that only you touch, so when you walk into a meeting room it's a completely seamless, touchless environment.

A priority for Pisys is the ability to manage the device and make sure it is kept up-to-date. The Lenovo kit is based on Windows 10 so it is a secure platform. Pisys would consider whether a device is going to be on the corporate network or a separate network and how it communicates to the outside world.

Along with security, customer benefits, reliability and ease of use are just as important. Additionally, the new norm would mean a lot more communication from home. It may be that organisations rota half the staff into the office at any one time. Enabling our customers to socially distance in the boardroom while communicating with remote employees safely is a key priority.

2. What concerns could customers have about connectivity?

A possible security concern could be when using Teams itself with the conferencing system. This is easy to secure however as Teams uses the users’ Office 365 account to authenticate and connect and join meetings. The security therefore is dependent on each individual user, rather than the conferencing devices themselves. The best way to secure an Office 365 account is to have Multi-Factor Authentication (often referred to as MFA or 2FA) enabled on the users account so they have to verify each different login with a code or notification.

3. Did any other AV equipment stand out for you?

As a newbie to AV as well, I was very interested in the ScreenBeam device and how it worked, due to it offering seamless connectivity with ease, which then intrigued me from the security standpoint. After researching the device online I have found that the reason it works so easily is due to it using a technology called Miracast (which is now a Technology Standard that has been ratified by the Wi-Fi Alliance). This technology allows the users to connect to any Miracast devices on the same network with a few simple clicks. This does require the users device to be Miracast compatible as well. However, Miracast has been around since 2012 so most devices will already be ready to go.

4. How would you check device security (Camera, ScreenBeam, etc)?

Nowadays most devices that are able to be connected to a network (whether it be by Wi-Fi or cable) have an administration login page that can be accessed by browsing to the network address of the device. Some devices are configured with a default username and password in order to log in that may be present across multiple models and types; however other devices sometimes associate the login information with the device serial number - making it harder to “break into” straight from the off. In either of these circumstances the engineer assigned to configure the devices would ensure that they can login to the device and change the password from the default/existing to one that matches our specification and requirements.
